How we handle information across our website, call services, and customer portals.

DOCO Agency (“DOCO,” “we,” “us,” or “our”) is a sole proprietor based in Georgia, United States. This policy describes information handled through our website, business inquiries, client onboarding, and call-handling and customer portal services.
When we handle calls, messages, or job requests for a restoration company, we process that information on its behalf and under its instructions. That company determines how it uses your information to provide restoration services. Its privacy notice may also apply. For our own inquiries and client relationships, DOCO determines how information is used.
The information processed depends on the services enabled for each client and what you choose to provide. Please avoid including unnecessary sensitive information in calls, notes, or photos.
We use information to respond to inquiries, set up and maintain client services, answer routine questions, capture service requests, arrange appointments or callbacks, follow agreed handoff rules, and deliver customer confirmations and owner or dispatcher notifications. We also use relevant information for troubleshooting, security, consent management, and legal obligations.
Information supplied to a client's service is made available to that client and its authorized users so they can act on the request.
Our call services use AI voice technology and may record and transcribe calls, generate summaries, and identify next steps under the client's call-handling instructions. Automated output can contain errors; the receiving business should review important information before acting on it.
Recording disclosures and any required consent must be provided through the actual call flow. This policy does not itself obtain recording consent.
DOCO does not use customer call or portal information to train its own general-purpose AI models. Technology providers' processing is governed by their applicable agreements and account settings.
Where you have opted in, service texts may include appointment confirmations, callback acknowledgments, service-request links, and updates about an active request. Messages sent on behalf of a restoration company should identify that business; DOCO's own messages should identify DOCO. The consent request should identify the sender and message purpose.
We do not sell mobile information or share mobile information, SMS consent, or opt-in records with third parties or affiliates for their marketing or promotional purposes. Service providers may process that information as needed to operate messaging and maintain consent records.
Providing a phone number or reading this policy does not, by itself, constitute SMS consent. Opting out of texts does not cancel an appointment or delete the underlying service request.
We disclose information to the relevant client and authorized service providers as needed to deliver the service. Our current technology stack includes:
Additional calendar or business integrations depend on the client's selected setup. We may also disclose information where required by law or reasonably necessary to protect rights, prevent abuse, or address security incidents. We do not sell personal information.
Our standard retention schedule is set out below. A different period may apply where agreed with the client for a specific service need, or where retention is required by law. Any agreed variation should be reflected in the applicable client arrangement and customer notice.
A job summary may remain available after its recording and full transcript have expired, subject to the separate job-record schedule above. Clients needing longer-term records should arrange an export before the relevant retention period ends.
Stopping texts does not cancel a service request or automatically delete its records. Retention may be extended for an applicable legal obligation, dispute, or legal hold. We do not currently run automated database backups. If a database backup schedule is put in place, this policy will be updated to reflect it.
The periods above cover service records. Business inquiries and client onboarding records are retained according to the ongoing business relationship and applicable administrative or legal needs.
Contact austin@docoagency.com to ask about access, correction, or deletion. Depending on applicable law, you may have additional rights. We may need to verify your identity before responding, and will respond within the time required by applicable law.
If your information relates to a restoration company's service, contact that company first. We can help route your request and assist the company under our service arrangement. Some records may be retained where permitted or required by law.
Our website may load third-party resources, such as fonts and scheduling tools, that receive technical information when accessed. We do not currently use advertising pixels or website analytics tools. External sites and services have their own privacy practices.
We use safeguards intended to protect personal information, but no system or method of transmission is completely secure. Information may be processed outside your state or country depending on our providers' locations and configurations.
We may update this policy as our services or practices change. We will update the date and provide additional notice or obtain consent where required by applicable law.
